With Automations, you can export Meeting Notes, Transcriptions, and Tasks to other tools. You can set up an automatic export or send your data manually to the destination app by hitting the "zap" button inside the meeting.

Only the apps you connect to in the "My Automations" section will be available under the "Zap" icon inside meetings for manual exporting. |
To complete the connection, you need to set up an Automation Rule. Later, if you wish to export data manually, you can switch the automation toggle off, which disables the automation but leaves the integration behind the "Zap" icon inside every meeting. |
My Automations

My Automations is created to track the Meeting Notes, Transcriptions, and Tasks for your personal usage. You can find your personal Automations on the left side menu inside the Sembly webapp. There are Native, Custom, and Zapier Automations. In this article, we cover only Native Automations. You can read about Custom or Zapier Automations in our articles.
Workspace Automations

Workspace Automations is created to track Tasks or review Meeting Notes from each meeting of your Sembly workspace or Teams inside your workspace. You can find your Workspace Automations on the left side menu inside the Sembly webapp. There are Native and Custom Automations. In this article, we cover only Native Automations. You can read about Custom Automations in our article.
For Google Sheets Automation, please choose one person from your workspace who will create and manage this Automation because meeting data will be sent to the Google Sheets of the person who created the Automation.
Only Workspace Admins can manage Workspace Automations. |
If you need time to edit meetings after the process, you can set up a delay for the export. This setting will apply to all automation you set up in the Automations section, including automations in the Custom tab.
Moreover, for a better experience, you can choose the timezone for the correct time in Automations that are being sent to your app of choice. By default, this setting is set to the UTC timezone.
Disable Personal Automations on a Workspace level
You can disable the Personal Automations inside the Workspace settings if you do not want your colleagues creating other automations besides the one you created for the whole workspace.
- Log in to your Workspace Admin account and click settings gear on the bottom-left
- Select Settings
- Click Details in the context menu on the left
- In the Automations section, enable or disable personal automations in your workspace
Please note that regular users cannot modify this setting, which is turned on by default. |
How to find the app
- Open your Sembly account, choose Personal or Workspace Automations in the left-hand menu, then the Native tab, as shown in the screenshots above
- Select “Browse all apps”
- Then, you can find the tool by category or simply find it using the “Search” field
Connect App
All apps can be connected in the same way. To establish a connection, please follow the steps described below:
- Open Personal or Workspace Automations, find your app, and click on it
- In the next window, you will be able to connect to the app, as well as read the description about this app, see what type of data can be pushed (in bubbles), and back to the menu with other apps
- Once you connect to the app, you will see the green checkmark. This means that your app is connected
Add Automation
Automation is a rule that contains specific information about the place you want to send meeting data from Sembly to any other app. One app can have a set of Automation rules based on your use case. For example, you want to send Notes and Tasks from Sembly to Monday into 2 different boards. In this case, you need to create 2 automations, one for Notes and one for Tasks.
You can add as much Automations as you need. All Automations will be listed one by one, and as for now, they cannot be grouped by apps.
- To add Automation, select the connected app and then click “+New Automation” in the popup, or click “+New Automation” and select the connected app on the page
- Enter the Automation name and customize the following fields:
- Data Type - select what you want to push, Meeting Notes, Transcriptions, or Tasks

Filter - select whether you want to apply the Automation rule:
- Apply to all meetings that I have access to - works for meetings where you received access before the meeting status is Completed;
- Apply to meetings with keywords in the title - required to paste those keywords into the specific field;
- Apply to meetings of a specific team - required to select the team;
- Apply to meetings with a specific type - required to select meeting type (it's the same type you choose in the meeting as a specific template for Meeting Notes);
- Apply to meetings of a specific Sembly owner - required to select the meeting owner - a person who is inside your workspace;
- Disabled (manual only) - available only for Personal Automations.
- Destination - select where Meeting Notes, Transcriptions, or Tasks will land. Here, you can either choose a destination from the dropdown immediately or you need to prepare a place to store data beforehand. We list apps with their specifics below in the table.

Click Complete after setting up the automation. After your meeting is complete, Notes or Tasks will be automatically sent to the final destination.
Manage Automation
If you wish to disable Automation, just click the toggle off on the appropriate Automation, and it will be disabled. Also, you can Edit or Delete the Automation: near the toggle, click three dots and choose the option you need to use.
Disconnect App
To disconnect your app, you just need to click on the appropriate app and in the next window, click Disconnect
Note that if you disconnect the app, Automations will still be active until you delete them as well. But don’t worry, Meeting Notes, Transcriptions, or Tasks cannot be sent if the app is disconnected, even if the Automations are active. |
Push Notes to the app manually
- Open your meeting and find a zap icon in the upper-right corner
- Click the zap, and in a dropdown, select the destination where the message with exported notes will be sent. And click Post Meeting Notes to …
- That’s it! Go to the app and check the results

Push Tasks to the app manually
- You can quickly send the task from the Tasks tab in the meeting or the My Tasks menu on the left. The task will show up in the app immediately with all additional info like a deadline and the assignee if it is included in the task in Sembly
- That’s it! Go to the app and check the results
